How we collect information about you

We may collect personal and non-personal information about you when you interact with us in each of the following ways:

  • if you register for an online user account with us or sign up to receive our newsletter and email updates, we will collect your name and email address and other information which you provide as part of registering for your user account; 
  • when you contact us via email, telephone, in writing, or through any of our social media platforms, we may collect your name, contact details and any other information that you provide to us;
  • if you make an enquiry, complaint or provide us with feedback, we will collect your name, contact details and any other information that you provide to us;
  • when you enter one of our prize draws or competitions, we will collect information that you provide to us when you enter one of our prize draws or competitions;
  • information you provide in relation to any enquiry, order or transaction you carry out with us, including your name, address, phone number, email address and credit/debit card details; and
  • information you provide if you apply to work for the SPFL.

When you use the Website, we also collect certain non-personal, technical information. For example, we may collect and store your IP address and demographic information. We also may collect information including, but not limited to, traffic data, location data and usage when you visit our Website. We will only collect such data in aggregate form (so that no individual user is identified).

How we use your personal information

Registering for an online user account  

We collect your name, email address and other personal information you provide when you register for an online user account with us. We will use your personal information to provide you with and manage your online account. We will retain this personal information for the duration of your user account with us. This processing of your personal information is necessary for us to provide you with the services and for our legitimate interests in operating, administering, and commercialising all SPFL competitions. Interacting with those individuals who want to engage with the SPFL allows us to achieve that purpose.

Enquiries, providing feedback or complaints

We collect your name, contact details and other personal information you provide when you make an enquiry or provide feedback to us. We may collect this information via completion of contact forms on our Website or by corresponding or speaking with us by telephone, email, letter, in person or otherwise. We will use your personal information to process your enquiry, to follow up on your feedback and to resolve any complaint.

We will keep your personal information for as long as necessary to be able to respond to any follow up queries or subsequent correspondence from you on your enquiry, feedback, or complaint and to make any improvements to our customer service or our business operations based on your queries, feedback or complaint. This processing is necessary for our legitimate interests in responding to you or others who interact with us and in reviewing and improving our customer service and our business operations.

Match Centre

We may collect your name, contact details, payment details and other personal details you provide when registering, subscribing, and purchasing a pass, including which team you support. A pass may be a single match PPV pass, monthly or season long package. We will use your personal information to provide you with and manage your online account and to provide the services to you. We will retain this personal information for the duration of your user account with us (excluding payment information). The SPFL will use this personal information to process your order/purchase. Where you have purchased products/ services from the Website, we will retain your payment method details for no longer than is necessary to process any refunds that may be due to you and to comply with legal and regulatory obligations. Any retained information can only be used for the purpose for which it is stored. This processing of information is necessary for the performance of our sales contract with you and to improve services and content.

Score Predictor

We will collect your name, contact details and other personal details you provide when registering for an online SPFL Score Predictor account with us, including your username which will be displayed on the leaderboard on the game’s website. We will use your personal information to provide you with and manage your online account and for you to play the Score Predictor game. We will retain this personal information for the duration of your user account with us. We will use your email address provided to contact you if you win one of the monthly prizes. We will use your address provided to deliver the prize if you have won. The name and town of the winner of each prize may be displayed on the website, published on SPFL’s social media pages and in promotional materials, as set out in the competitions terms and conditions [https://spfl.co.uk/score-predictor/pages/terms-and-conditions]. Our legal basis for this processing is your consent which you give by registering for a Score Predictor account and each time you enter a Score Predictor competition by playing the game. We will retain your information for as long as is necessary for those purposes. If you withdraw your consent, we cannot process your Score Predictor competition entry or allow you to play the Score Predictor game.

When you sign up to an SPFL Score Predictor account, we will use your personal information to send you football related updates and associated video content and exclusive offers and promotions of SPFL. We will only send you football related updates and exclusive offers and promotions of SPFL with your consent which we have obtained at the point you register your account or sign up for a new game, or on the basis it is necessary for our legitimate interests to promote our products and services to you where we have given you the option not to receive this information when we collected your information. You can opt out of receiving updates, content and offers and promotions by contacting us or by clicking “unsubscribe” in the footer of any of our newsletters or email updates.

Fantasy Football

We collect your name, contact details and other personal details you provide when registering for an SPFL Fantasy Football account including your team name which will be displayed on the leaderboard on the game’s website. We will use your personal information to provide you with and manage your online account and to allow you to play the SPFL Fantasy Football game. We will retain this personal information for the duration of your user account with us. Our legal basis for this processing is your consent which you give by signing up to SPFL Fantasy Football and by playing the game. We will retain your information for as long as is necessary for those purposes. If you withdraw your consent, we cannot allow you to play the SPFL Fantasy Football game or process your competition entry.  

When you sign up to an SPFL Fantasy Football account, we will use your personal information to send you football related updates and associated video content and exclusive offers and promotions of SPFL. We will only send you football related updates and exclusive offers and promotions of SPFL with your consent which we have obtained at the point you register your account or sign up for a game of Fantasy Football, or on the basis it is necessary for our legitimate interests to promote our products and services to you where we have given you the option not to receive this information when we collected your information. You can opt out of receiving updates, content and offers and promotions by contacting us or by clicking “unsubscribe” in the footer of any of our newsletters or email updates.

Competitions

We will collect and use personal information that you provide to us when you enter one of our competitions to administer the competition including to communicate with you, if your entry has been successful, and fulfilment of prizes. Our legal basis for this processing is your consent which you give on entering the competition. We will retain your information for as long as is necessary for those purposes. If you withdraw your consent, we cannot process your competition entry.

Marketing emails

We may use the personal information we collect as part of our customer relationship with you to inform you by email about promotions we think may be of interest to you. When we collect your personal information, we will give you option not to receive these emails. You can change your mind at any time by contacting us or clicking “unsubscribe” in the emails we send you. This is necessary for our legitimate interests for promoting our products and services as well as gaining a better understanding of our customers and improving our services.

If you have consented to receive marketing emails from the official partners of the SPFL, we may share your personal information with those official partners for those purposes. 

When you sign up to receive news, updates or emails from SPFL, we will use your personal information including your name and email address to send you the news, updates or emails you have requested. We will only send you these with your consent. You can withdraw your consent at any time by contacting us or by clicking “unsubscribe” in the footer of any of our newsletters or email updates.

Improving our service

Individuals interact with us in multiple ways and provide us with personal information in different contexts. We may use your personal information (as well as pseudonymised or anonymised information generated from your personal information) to carry out analysis and research to better understand our customers, improve our content, improve customer service, and improve business operations. We may collect your information in aggregated form (so that no individual user is identified) for statistical analysis to allow us to understand our customers and improve our services and performance including the functionality of our website and user experience.

The legal basis for processing your personal information (as well as anonymised information generated from your personal information) in those ways is that it is necessary for our legitimate interests of providing a better experience for you and other users of our Website, promoting our products and services, of understanding our customers and users of our Website and how members of the public interact with the SPFL and how we can develop and improve those interactions, and of improving our content, customer service and business operations. We will retain this information for as long as it is necessary for the relevant activity.

Applying to Work at the SPFL

We collect personal information from you if you apply to work at the SPFL. We will only use the information you supply to us to process your application and to make a decision about your recruitment or appointment. This may include checking you are legally entitled to work in the UK.

We use your personal information collected during the application process on the following legal bases:

  • Where it is necessary to process your application or to comply with a legal or regulatory obligation; or
  • Where it is necessary for our legitimate interests and your interests and fundamental rights do not override those interests. Those legitimate interests include demonstrating compliance with legal, regulatory and corporate governance obligations, use as part of investigations by regulatory bodies, or in connection with legal proceedings and requests, good employment practice and ensuring safe working practices.

We may collect information about criminal convictions as part of the recruitment process, but we will only do so if it is appropriate given the nature of the role and where we are legally able to do so.

We will share your personal information in accordance with the section below “Who we share your information with”. Where we want to disclose information to other third parties, for example where we want to take up a reference or undertake criminal records checks (where appropriate) through Disclosure Scotland, we will not do so without informing you beforehand unless the disclosure is required by law.

Personal information about unsuccessful candidates will be held for 12 months from post-end of calendar year in which the personal information is collected, in case of a future vacancy which we may invite them to apply for, following which we will delete it.

Once a person has taken up employment with the SPFL, we will record, process, keep, and securely hold personal information as part of your employee record in accordance with our Employee Privacy Policy (a copy of which will be provided to you when you start with us).

The Kind of information we hold about you

We may collect, store, and use your personal information including:

  • Personal details such as name, address, date of birth, photographs, telephone numbers, personal email addresses,
  • Recruitment information (including copies of right to work documentation, references and other information included in a CV or cover letter).

 How long we retain information about you

We only keep your personal information for as long as necessary for the purposes we collected it for and for as long afterwards as is necessary to comply with our legal obligations or as is necessary in our legitimate interests to retain it.

For example:

  • when you register for an online user account with us, we will keep your personal information for the duration of your account with us.
  • when you make an enquiry or complaint or provide us with feedback, we will keep your personal information for as long as is necessary to resolve the enquiry or complaint or to address your feedback and handle any follow-up correspondence with you.

We review our retention periods on a regular basis. If you ask us to delete your personal information in accordance with your rights set out below, we will retain basic information on a suppression list to record your request and to avoid sending you unwanted communications in the future.

Who we share your information with

We will share your personal information with our suppliers for the purposes set out in this privacy policy only.  We may share your information with our group companies and with our suppliers. These suppliers may process personal information on our behalf as data processors. We ensure that such data processors are subject to contractual conditions to process personal information only in accordance with our instructions and in accordance with the law and we will share your information with our official partners of the SPFL where you have provided your consent.

We may also share your personal information with third parties where the disclosure is required by law. Where disclosure to third parties is required by law, our legal basis for processing your information in this way is that it is necessary to comply with a legal obligation that we are subject to.

Transfers to countries outside of the UK and EU

Your personal information may be transferred to, and stored in, countries outside of the UK and the EU for the above purposes. If we transfer your personal information outside of the UK and EU, SPFL will take steps to ensure your personal information and rights are adequately protected in countries outside of the UK and EU through methods approved within applicable data protection laws.

Because we want your experience of our Website to be as informative and useful as possible, we may provide links to websites operated by third parties ("Third Party Websites"). Please be aware that we do not control such Third Party Websites and that such Third Party Websites may send their own cookies to users or collect personal information. We accept no responsibility for Third Party Websites or for any loss or damage that may arise from your use of them. This policy applies only to our Website and we encourage you to review the privacy policy on any other Third Party Websites that you visit.
